When somebody in Kolkata searches for a service near them, the first thing they see is not a website. It is a map with three businesses beside it. Those three take a large majority of the clicks and calls, and everything below them competes for what is left.

Getting into that group of three is free, takes about an afternoon of initial work and then a few minutes a week, and is the single highest-return marketing activity available to most local businesses. It is also done badly by the overwhelming majority of businesses in this city, which means the bar is low enough to clear with ordinary diligence.

This is what actually moves local ranking, in the order the effort is worth spending.

Why the map pack matters more than your website at first

A new website takes months to rank for anything competitive. Domain age, links and accumulated trust are real factors and none of them can be rushed. A Google Business Profile operates on a different system: proximity to the searcher, relevance of your categories, and prominence built largely from reviews. A well-optimised profile for a business that has existed for years can appear in the local pack within weeks.

The intent is also better. Someone searching a service plus a place, or simply a service while on a phone with location enabled, is looking to hire now rather than to research. Those searches convert at rates that make most other channels look inefficient.

And the profile is where people check you before calling, regardless of how they found you. Incomplete hours, no photographs, unanswered reviews and an outdated phone number all cost enquiries from people who had already decided to contact you.

What actually determines local ranking

Google describes three factors and they are worth taking literally: relevance, distance and prominence.

Relevance is how well your profile matches what was searched, driven mainly by your categories, your business name and your description. Distance is how far you are from the searcher, which you cannot change but which explains why results differ across the city — your ranking is not one number, it is a different number for every point on the map.

Prominence is how well known your business is, and it is the part you can most influence. It is built from review quantity and quality, from consistent mentions of your business across the web, from links to your site, and from general web presence. Check your ranking from different parts of the city, or use a tool that does. The honest question is not whether you rank where you are, but how far from your door you still appear.

Categories: the most under-used lever

Your primary category carries more weight than almost anything else on the profile, and most businesses choose it carelessly in the first minute of setup and never revisit it.

Choose the most specific category that accurately describes your main business. Specific beats broad: "Web Designer" will serve a design studio better than "Internet Marketing Service", because it matches what people actually search. Then add secondary categories for genuinely different services you offer — but only real ones. Stuffing unrelated categories dilutes relevance and risks a suspension.

Look at what the businesses currently ranking above you have selected. Their categories are visible, and if all three of the local pack results for your main search use a category you have not selected, that is a direct and actionable finding.

Then revisit it. Google adds and renames categories regularly, and a more precise option may have appeared since you set the profile up. This takes five minutes a quarter and is regularly worth more than a month of other effort.

NAP consistency and why it quietly matters

NAP stands for name, address and phone. The principle is simple: these three pieces of information must appear identically everywhere your business is listed online — your website, Google, Justdial, IndiaMART, Sulekha, trade directories, your social profiles and your invoices.

Identically means character for character. "9R, Munshi Bazar Road" and "9R Munshi Bazaar Rd" are different strings, and while Google is reasonably good at reconciling variations, each inconsistency adds a little doubt about whether these listings describe the same business. Doubt reduces prominence, and prominence is a ranking factor.

The most common source of inconsistency is time. A business moves, or changes a phone number, and updates Google and its own website but not the eleven directory listings created over the years. Those stale listings persist and quietly contradict the current data.

Fix this once, properly. Write your canonical NAP in a document. Search for your business name and phone number, find every listing, and correct each one to match exactly. It is tedious and it is the kind of unglamorous work that separates profiles that rank from profiles that do not.

Reviews: the system that beats asking occasionally

Reviews influence ranking and they influence whether someone who sees you chooses to call. They are the closest thing to a lever a local business has, and almost every business treats them as something that happens rather than something they do.

The difference between businesses with forty reviews and businesses with four is almost never service quality. It is that one of them asks systematically and the other asks occasionally when they remember. Build asking into the job: at the point the customer is most satisfied, which is usually right after delivery or completion, a specific person asks, in person or by WhatsApp, with a direct link to the review form.

Make it effortless. Google provides a short review link for every profile — put it in a WhatsApp template, in your email signature, on your invoice, and on a card you hand over. Every additional step between intention and review loses a meaningful share of people.

Then reply to all of them, positive and negative. Replies are visible to everyone deciding whether to call you, and a calm, specific reply to a critical review does more for your credibility than ten five-star ratings. Never argue, never blame the customer, and never post a template — people recognise templates and discount everything around them.

Profiles with real photographs receive substantially more calls and direction requests than those without. Not stock imagery — actual photographs of your premises, your team, your work and your products. Exterior shots matter more than people expect, because a customer who can recognise your building is a customer who arrives.

Add photographs regularly rather than once. A profile with a steady trickle of new images signals an active business, and activity is a reasonable proxy for the business still existing — which is precisely what a searcher is trying to determine.

Google Posts are underused to the point of being an opportunity. They appear on your profile and let you publish offers, updates and events. Few local businesses post at all, so consistent weekly posting is a genuine differentiator that costs a few minutes.

Fill in every field. Services with descriptions, products, attributes, opening hours including holidays, the business description, and the questions-and-answers section — where you can and should post the questions customers actually ask, and answer them yourself. A complete profile outranks an incomplete one, and completion is entirely within your control.

What to do every month

The initial setup is an afternoon. Keeping the profile performing is a short, repeatable routine, and the routine is what produces results rather than the setup.

Weekly: publish one post, and reply to any new reviews. Monthly: add two or three photographs, check that hours are correct for any upcoming holidays, review the insights to see what search terms brought people to you, and ask a specific number of customers for reviews. Quarterly: re-check your categories against what competitors use, and audit your NAP across directories for anything that has drifted.

That is perhaps twenty minutes a week. Against the cost of any paid channel, and against what most Kolkata businesses currently do, the return is difficult to match.

Mistakes that get profiles suspended

A suspension removes you from the map entirely, and reinstatement is slow and uncertain. The causes are well known and avoidable.

Keyword stuffing the business name is the most common. Your name field must be your actual business name.
